Teams, participants and leads
An organization team is your regular group. Within an event, you choose the teams involved, the people taking part and the access needed for this occasion.
You need the relevant event management permissions. A function or dynamic role assigns a place in the work; it does not grant permissions.
Add a participating team
- Open Settings → Participating teams.
- Select Add a team, then choose the team.
- Choose at least one lead for each team being added.
- Confirm with Add… team.
The selected leads are attached to that team in this event. A team designation does not grant permissions: check their access under Participants. It does not automatically add every regular member of the team either.
Add people and assign their work
In Directory, select Add a person. Choose an existing member or, when allowed by your organization, an external contact. Set their team and function for this event, then confirm.
For a signed-in member, choose the required permissions when prompted. An external contact receives no application access. Use a temporary member for someone who needs to sign in for a limited period.
In Settings → Participants, open a person to adjust their roles, scope and access dates. Dynamic roles distribute the tasks assigned to those roles; check which still need a holder.
Removing permissions does not remove the person from the composition or history. Permissions originating from a designation or replacement are managed through that original workflow. You cannot change your own permissions or grant more than you hold.
Designate event leadership
Open Settings → Event leads. Choose the titular lead or leads allowed by the settings, then deputies if needed. Select Review changes, read the permissions being added or removed, then Confirm designations.
Unlike a team lead designation, event leadership grants full access to this event. Keep a titular lead or designate a successor before removing the last one.
Expected result
The directory shows who is involved and with which team. Participants shows access. Leads are explicitly named and required dynamic roles have a holder. Use Positions to fill to plan vacancies.
