Create and manage teams
A team groups people working in the same area, such as welcome, technical operations or catering. It can take part in several events without rebuilding its membership each time.
You need permission to manage teams within your assigned scope. People you add must already belong to the organization.
Create and populate a team
- Open Teams, then New team.
- Enter the Team name, choose a Color, then Create.
- Select its name in the list, then Open full profile in the preview.
- Under Members, select Add a member, search for the person and select them.
The person appears in the team. They can belong to several teams. The star marks them as a team lead; this is separate from choosing their organization role.
Remove from team removes this membership without removing the person from the organization. To use the team on a particular date, add it to the event’s teams.
Distinguish functions and dynamic roles
| Concept | What it describes | Fictional example |
|---|---|---|
| Function | The title under which a person is presented | Welcome agent |
| Dynamic role | A work responsibility assigned for each event | Entrance check |
| Organization role | The person’s permissions | A role allowed to manage teams |
A function or dynamic role does not grant permissions on its own.
Under Functions, use Add a function to prepare titles. Under Dynamic roles, use Add a role, enter its name, then Add.
A checklist template or run sheet template can assign work to this dynamic role. For each event, designate the person holding it: the template remains reusable when the people attending change.
Maintain a team
The record also gathers its documents. Use the team’s controls to change its name and color. Before deleting a team, read the confirmation: members lose their connection to this team. To change just one person, use Members instead.
