Understand a timeline
A timeline is a reusable set of milestones. It describes an event’s rhythm without assigning an actual date.
Before you start
You need permission to view your organisation’s timelines to consult them, and permission to manage them to make changes. Find them on the web under Settings → Run sheet → Timelines, preferably on a computer.
A milestone is a reference point
A milestone represents a moment: “Doors open”, “Show starts” or “Match ends”. An action to carry out, such as checking an entrance, belongs in a run sheet or checklist instead.
H0: your time origin
One milestone is chosen as the H0 origin. It corresponds to the Reference time entered when creating the event. Operations may start before that time.
Other milestones sit before or after a reference milestone, with a gap in minutes. For an exhibition:
| Milestone | Position | If H0 = 10:00 |
|---|---|---|
| Exhibitors arrive | 90 minutes before opening | 08:30 |
| Open to the public | H0 | 10:00 |
| Close to the public | 480 minutes after opening | 18:00 |
| Dismantling starts | 30 minutes after closing to the public | 18:30 |
H0 is not necessarily the first milestone. Here, dismantling depends on closing to the public: if closing moves to 18:30, dismantling moves to 19:00. Exhibitors still arrive at 08:30 and opening stays at 10:00.
Timeline, template and event
The timeline holds time reference points. The event template chooses the timeline to use alongside other preparation settings. The event gives that preparation a date and time.
In the template, find this choice in Run sheet, under Frame, in Default milestone list. These labels refer to the timeline prepared in settings.
Expected result
You know what deserves a milestone and which time H0 represents. Continue with Create a timeline to prepare your own rhythm.
