Checklist templates

A checklist template gathers tasks you repeat regularly: checking access routes, preparing a room or inspecting equipment. Each use creates a checklist whose progress belongs to the event.

You need permission to manage checklist templates. Prepare the teams and milestones you intend to use first.

Prepare the tasks

  1. Open Checklist templates in the organization menu.
  2. Select New template.
  3. Under Team, choose a team, Organisation-wide or Only me. If several run orders or field sets are available, choose which ones to use, then select Create. The template already exists when the editor opens.
  4. Click the title to name the template, for example “Prepare the welcome desk”.
  5. Select Add a task. Give it a precise title, such as “Check public access routes”, and add a description when instructions are needed.
  6. Close the panel, then select Save at the top of the screen. Save your changes before leaving the editor.

A task can have no deadline. “Gates milestone” answers a different question: is completing this task necessary for that milestone to be ready?

Specify the work

A task can have No deadline. To schedule it relative to a milestone, choose that milestone under Deadline, then the offset before or after it. Duration describes the planned time for the task.

Use the options where they serve a specific purpose:

  • Assignee: prepare how work is assigned, including through a team’s dynamic roles.
  • Gates milestone: include the task in a milestone’s readiness. This is separate from the task’s deadline.
  • Photo: require photo evidence.
  • Subtasks: list the checks within one task.
  • Response type and Branching: collect an answer and prepare conditional follow-up. Add the other tasks before defining links between them.

The Reminders area currently says “delivery coming soon”. Do not rely on these reminders to receive a notification.

Review and reuse

Review the template in List, Table or Gantt view. Check titles, deadlines and assignments; no dated event has been created yet.

You can then create a checklist from this template. Changing the template later does not change checklists already created. Future copies use the updated version. An Only me template is visible and usable only by its author. It is not offered in the event creation wizard. Team and organisation-wide templates remain subject to user permissions.

Use Duplicate in the list for a variation. Archive removes a template from your active choices while retaining it under Archived.
