Reuse a past event

After a first event, you can reuse its preparation even if you have not created a template. For example, start from a concert to prepare the next date in the same venue.

You need permission to create events and access to the source event.

Prepare the copy

  1. From the event list, open event creation.
  2. Choose Reuse a past event and select the source event.
  3. Give it a new name and check the proposed dates.
  4. Review the proposed teams and participants, then create the copy.

The new event starts as a Draft. It remains independent of its source. Open its Settings to check modules, access and the other copied choices before moving to preparation.

What is reused

The copy carries preparation: information and fields, settings, teams, roles and assignments, zones, run sheets and checklists. Deadlines shift from the new dates; tasks and actions start as work to do again.

Operational history stays in the source event: log entries, conversations, validations, answers, evidence photos, acknowledgements and history. You are not copying an event whose work is already completed.

Document links placed directly on the event are recreated. Documents inherited from a venue, team or template continue to depend on their source; reuse does not duplicate every file universally.

Review before starting

Check who is available for the new date, their access, dynamic role holders, times and relevant documents. Adapt instructions that applied only to the previous edition.

When preparation is ready, continue through the event lifecycle. For frequently repeated formats, an event template provides a dedicated starting point.
